We are seeking an Assistant IP Administrator to play a key role in managing complex and high-profile IP portfolios, collaborating with skilled attorneys, and supporting exciting patent, trademark, and copyright matters for domestic and international clients. This position is on-site in our Tampa office (Monday – Friday, 7.5 hours/day), offering you a professional environment with direct exposure to all aspects of IP law.
What You’ll Do
Manage and maintain IP docketing systems for patents, trademarks, and copyrights
Track and report on critical deadlines across IP portfolios
Prepare and file applications and maintenance documents with the USPTO and Copyright Office
Support global IP filings by coordinating with foreign counsel
Draft formal IP documentation, including powers of attorney, assignments, and disclosure statements
Conduct preliminary trademark clearance searches and review search reports
Draft responses to Office Actions and cease and desist letters (with attorney supervision)
Investigate specimens of use for trademark filings
Support litigation and dispute processes before the USPTO (e.g., TTAB, PTAB) and U.S. federal courts
Assist with IP due diligence, ownership verification, and chain-of-title documentation
Collaborate with attorneys and legal administrative professionals to meet deadlines and support strategic IP initiatives
Help manage the firm’s USPTO deposit account and related financial systems
What We’re Looking For
High school diploma required; associate or bachelor's degree preferred
Experience in an IP role within a law firm or corporate legal setting is required
Strong command of USPTO filings and docket management
Superb organizational skills and sharp attention to detail
Excellent written and interpersonal communication abilities
Able to manage multiple projects and meet time-sensitive deadlines
Proficient in Microsoft Office and comfortable with legal tech tools
Knowledge of U.S. IP law is expected; familiarity with international IP procedures (e.g., PCT, Madrid Protocol) is a plus
Experience with domain name procedures and IP litigation support is an added advantage
